Policy: Procedures for Business Meetings of Members and of Board
PROCEDURES FOR BUSINESS MEETINGS
OF
THE MEMBERS AND OF THE BOARD OF DIRECTORS

These Procedures shall be followed
for all business meetings of both the Members and the Board of Directors,
including the Annual Meeting of the Members (which may include the initial
meeting of the Directors elected thereat):
1. All
meetings shall be open to all Members and, unless exigent circumstances exist,
notice therefor shall be given 7 days in advance by (a) emails to members who
have provided emails to the BPIA, (b) Notice on the Green Mercantile Board, (c)
Notice on the Community Boards of both BPIA and PECIA, and (d) Notice on BPIA
social media.
2. An
Agenda shall be prepared by a Member of the Board of Directors which shall
include, if relevant:
a. Purpose of Meeting and Date
b. Call to Order
c. Minutes of the last Meeting of similar
kind
d. Treasurer’s Report if scheduled or
relevant
e. Public Comment limited to 3 minutes per
member-speaker
( see ___
below as to formal presentation of matters listed on the Agenda)
f. Old Business if relevant to Meeting
Purpose
e. New Business if listed on the Agenda or
allowed by the presiding
officer.
NOTE: IF a
Speaker has provided a topic and summary as to an Old or New Business and has been granted permission to speak as scheduled
at least 7 days prior to the meeting, the speaker shall be
listed on the Agenda along with the time allotted therefor.
